What’s new in SpaSphere

We've been continually building, and I wanted to share a few new additions that are now live inside SpaSphere.

All are meaningful updates to help your business run more smoothly-and give your clients a better experience.

New this month:

• Keep your day together -Smart Availability!​
A client books at 9:00 AM, another at 4:00 PM, and suddenly you have a long gap in the middle of your day.

With Keep your day together under "Settings" -> Appointments -> "Booking availability" SpaSphere will prioritize appointment times that fit beside bookings already on your calendar. You will be able to show every available time with the best options first, or only show times within a window around an existing appointment.

Empty days will still show all availability-and Make me look busy will remain available for anyone who uses it.

• Your clients now have a portal ​
Clients can securely log in with a one-time code...no password to remember or reset. From their portal, they can view upcoming appointments, complete relevant intake forms, view their skin assessments, shop retail, track and schedule their treatment programs, and access invoices and shared files.

• Ask Sophie about your actual business

Sophie now lives inside your dashboard and can work from your real business data. Ask what made last month slow, which services earn the most per hour, or which clients have not rebooked-and keep asking follow-up questions until you have an answer you can act on.

• Send invoices and get paid from one link

The new Invoices page gives every invoice a sequential number, lets you email it in one click, and gives clients a secure link to pay online. SpaSphere also flags expired payment links, so you know which invoices need a fresh request instead of more follow-up.

•Request a deposit or card on file when booking

When creating an appointment, you can now choose Send request for deposit or Collect card on file. Your client receives a secure payment link, and the appointment updates once they pay or save their card.

A simple way to protect time reserved for higher-value appointments or clients with a no-show history.

• A faster, clearer dashboard

The dashboard has been rebuilt around the information you need today. Recent activity now links directly to the client and invoice involved; upcoming appointments includes tomorrow; and calendar rows open directly to the right time.

Revenue is calculated in your timezone, each card loads independently, and unavailable data is shown honestly instead of as a misleading zero. Prefer the familiar layout? The classic dashboard is still available.

• SOAP notes that guide you as you write

SOAP notes are now one clean scrolling document instead of four separate tabs. Choose a template, use condition chips to document quickly, and see a live completion rail that shows what is still missing before you close the chart.

Finished notes can also be sent by email.

• Drag and drop appointments on desktop

Need to move an appointment? Just drag it to the new time on your calendar. You will see the new time before you drop, get a confirmation if it creates a conflict, and the appointment safely snaps back if you cancel or a save does not go through.
